Process Course Completion Records

As each camp event comes to a close, camp staff instructors should know which attendees have completed their courses and which requirements or courses were not completed. Processing course completion requires three things.

  • Updating the Complete Status to either complete or incomplete. It is recommended, but not required, that each camp transfer course completion records in a complete status and manage exceptions. Meaning, the course is ready to post as complete, and the camp staff only need to mark requirements or courses that were not completed as incomplete.
  • Depending on the status of system parameter, each record will be transferred with the posting status of Draft, Processed, or Posted. It is recommended to transfer in Draft status, set to Processed while completing the course, and setting to Posted once all camp records have been finalized.
  • Optionally, enter any comments regarding why an attendee did or did not complete a particular requirement or course.
Understanding Summary and Detail Records

Summary records do not contain course requirements meaning only the person attending the course is transferred to course completion. Instructors can mark the entire course as Complete or Incomplete and write some basic comments about the person.

Detail Recors are the actual requirements for a course, so both summary and detail records exist. The summary record exists for the overall course, and there is a detail record for each requirement. It is recommended that you deal with exceptions when processing detail records meaning update the entire course to complete and then deal with incompleting individual requirements that were not met.

Understanding Posting Status

The posting status field is used to drive the course completion process. By default, status should move from Draft to Processed to Posted. However, each camp can make a decision as to how posting status is defaulted. Below are the definitions of each status.

  • Draft - A record in draft status means it has not been processed by the camp staff. These course completion records will show on the Unprocessed Report.
  • Processed - As a camp user updates course completion records to complete or incomplete, he or she should mark them as processed. This will remove them from the unprocessed report, which gives camp staff a report of outstanding records that still need processing. In addition, processed records will be availble on the event and course incomplete reports for camp staff.
  • Posted - Once course completion records are posted, they are avialble for each unit to review.
Processing Course Completions

The simpliest method of updating a course or requirements to complete is to use the control buttons at the top of the page. It is easy to set the posting status and completion status for each record. Once this is complete, then simply manage any excpetions by setting the individual record to incomplete.

Processing Summary and Detail Records from the Summary Screen
  • Navigation: Camp User - Course Completion - Completion Summary
  • Ensure the Process Detail drop down list is set to Yes.
  • Click the Complete All Button.
  • The completion status is updated to Complete, and a message is displayed with the number of updated summary and detail records. Note: If you transfer your records in Complete status, then only the posting status field needs to be updated.
  • Click the Process All Button.
  • The posting status is updated to Processed, and a message is displayed with the number of updated summary and detail records.
  • Once all records are processed, any incomplete records can be individually set to incomplete.
Processing Summary Records

  • The posting status is updated to Processed, and a message is displayed with the number of updated detail records.
  • Once all records are processed, any incomplete records can be individually set to incomplete.
