Messaging

Messaging allows you to send emails and text messages to people within your organization.

Prerequisites

In order to send messages, each person must be opted in to allow messages to be received.

  • Navigation: Unit User - My People or Camp User - People
  • Navigate to the Contact Info tab
  • To receive text messages, set Receive Text Messages to Yes, enter a Primary and/or Secondary Phone, enter a phone type of Mobile, and select your carrier. If both are entered, any text messages will be deliverd to both phone numbers.
  • To receive email messages, set Receive Email Messages to Yes. Enter an primary and/or secondary email address. If both are entered, any email messages will be deliverd to both email addresses.
  • Any person with these parameters set will be available to receive text or email messages.

In addition, people can be identified as a camp staff member or unit leader.

  • Navigation: Unit User - My People or Camp User - People
  • Navigate to the Other tab
  • Set the Unit Leader and/or Camp Staff Flags to Yes to indicate they are members of these groups. Note: Only a camp user can designate someone as camp staff.

Sending Messages

The send message form has a several options to choose when sending a message. In this example, we are sending a message to Unit 555. We are copying the camp staff, and the reply to address is the camp director's email.

Radio Buttons
  • All - Any person meeting the criteria will be sent the message.
  • Unit Leaders - Only people marked with the Unit Leader Flag as Yes will receive the message.
  • Camp Staff - Only people marked with the Camp Staff Flag as Yes will receive the message.
Message List

The message list is the given criteria used to build the message group. The different groups are explained below.

  • Organization - Selects all people that are active and have an active person organization assignment.
  • Camp - Selects all people that are active. They must have an active person organization assignment and an active person unit assignment. The unit must have an active unit event assignment to an event within that camp.
  • Region - Selects all people that are active. The must have an active person organization assignment and an active person unit assignment. The region on the person unit assignment will be used to determine if they are assigned to that region.
  • Unit - Selects all people that are active. The must have an active person organization assignment and an active person unit assignment. The unit on the person unit assignment will be used to determine if they are assigned to that unit.
  • Event - Selects all people that are active. They must have an active person organization assignment and an active person unit assignment. The unit must have an active unit event assignment to the event.
  • User Entered - This allows the end user to type comma delimited email addresses into the To Field.
  • Distribution List - This sends messages to a custom distribution list. See How to define a custom message list.
  • Users - Selects the email addresses from each end users account. This feature is not available for text messages.
Message Type
  • HTML Email - This is the default template, and it will allow the end user to utilize the formatting tool bar in the body of the message. Common HTML features such as changing the font, bolding, underlining, bulleted lists, and font colors can be modified in the message.
  • Text Email - This template will only send standard text. The toolbar should not be utilized when sending text emails. It will put unnecessary characters in the message.
  • Text Message via email - This will send an email message as a text message to mobile devices.
Priority
  • Normal Emaii Priorities of High, Normal, and Low.
From

The from message is the account used to send the email message. In most cases, this is going to be a system defined email message setup during the initial application setup. It is possible to override this value by updating the XX_ALLOWSYSTEMEMAILOVERRIDE system parameter. In most cases, the end user can enter her or his email in the reply to field.

Reply To

The Reply To field structures email messages, so they are sent from one address and replied to another. If an end user expects email recipients to respond to the message, the reply to address should be selected.

  • User Entered - This allows the end user to enter an email address to respond to.
  • Distribution Lists - Any custom distribution lists that have been defined will show in list. Selecting one of the distribution lists will respond to the entire group.
To

The To field will be enabled based on your selection in the Message List Drop Down List. Please fill in all the fields that are enabled.

CC/BCC

The CC and BCC fields can be used to copy individuals or distribution groups.

Body

This is the actual email message that is being sent to the list of recipients selected above. As a reminder, the formatting tool bar should only be used when selecting HTML Email Messages.

Attachments

The attachments control allows multiple attachments to be selected and sent to the selected recipients. Simply drag and drop attachments or use the selection box. Be sure to click the upload button once all desired attachments have been dropped in the control.

Sending Messages

Once you have drafted your message and filled in the appropriate fields, the Send Message button will send all messages to the recipients. A message will be returned to the top of the page that messages have been sent.
