Event Course Relationships

Event course relationships assign each active course to a given event. Without an active event-course assignment, a course will not be available for registration. By using assignments, camp users can control which courses are available at each event. In addition, the instructor, location, and area can be modified for each course and event. Thus, if you teach first aid during multiple weeks of camp, different locations or instructors can be assigned each week. For example:

  • If attendance is low for a given event, afternoon swimming may be canceled. Inactivating the event-course assignment will stop registrations into the course.
  • Changing the instructor for different events can be modified on the event course record.
  • Changing the location or area for different events can be modified on the event course record.
Adding Event Course Relationships - Mass Addition
  • A mass addition is a bulk import from a comma delimited file. Please review the Mass Addition notes before working with these files.
  • Download a event course relationship template from the Templates section.
  • Fill out appropriate data. Ensure Insert or Update column is set to INSERT.
  • Navigation: Camp User Menu Item - Mass Additions
  • Choose an Import Type of Event Course Assignment
  • Click the Choose File Button. Navigate to your CSV file.
  • Click Upload File.
  • You should see a message that the file uploaded successfully.
  • It is recommended that you select Validate file first! This will run through the file without loading it and provide any errors, which should be resolved before the file is actually loaded.
  • Click the Process File Button
  • Each record will either be successfully processed or will display an error.
  • Resolve any errors, upload the file again, and validate again. Repeat until all errors are resolved.
  • Once all errors have been resolved, upload the file again, choose Load File, and click the Process File Button.
  • You should receive a success message for each record as it is inserted.
  • If any errors are found, address the errors and be sure to load the errors only in your next upload.
Editing an Event Course Relationship - Mass Additions

Managing Event Course Relationships
  • Navigation: Camp User - Event Course
  • Query up a course you wish to activate or inactivate.
  • Save the record.
Adding Event Course Relationships
  • Navigation: Camp User - Event Course - Add Event Course Relationship
  • Select an organization, camp, event, department, and course.
  • Save the record.
Event Course Quick Additions

Event Course Quick Additions is an easy way to create an assignment for all active courses to an event. The application goes through each course and creates an assignment.

If default instructors, locations and/or areas have been defined on the course records, these data elements will be setup on the event course record during creation.

  • Navigation: Event Course - Event Course Quick Additions
  • Select an organization, camp, event year, and event.
  • When you click the submit button, the application will attempt to create an event course assignment for each active course. If a valid assignment exists, the program will skip that record.
